Introduction to Performance Appraisal
Purpose of the Appraisal
The annual performance appraisal is a key component of CPS's performance management system. It serves multiple purposes:
- Evaluate your accomplishments and contributions over the past year
- Identify areas for professional development and growth
- Align individual performance with organizational goals
- Provide a basis for feedback and career planning discussions
- Document performance for records and future reference
Timeline & Deadlines
It's important to complete your self-assessment within the specified timeline:
- Self-assessment period: 15 January - 8 February 2025
- Submission deadline: 8 February 2025, 23:59
- Manager review: 9-15 February 2025
- Feedback meetings: 16-28 February 2025

Filling in Your Information
The Employee Details section captures essential information about you and your role at CPS. All fields marked with an asterisk (*) are required.

DO
- Use your full legal name as it appears in HR records
- Use your official job title, not informal descriptions
- Specify your department accurately
- Include your direct line manager's full name
- Double-check for spelling errors
DON'T
- Use nicknames or abbreviations
- Leave required fields blank
- Guess your manager's name - check official records
- Use outdated position titles
- Forget to update if you changed departments recently
Self-Assessment Ratings
Understanding the Rating Scale
The self-assessment uses a 5-point rating scale. Each rating has a specific meaning:

Scenario: You consistently meet project deadlines and produce work that rarely requires corrections. Your manager has complimented your attention to detail on several occasions this year.

Rating Yourself Accurately
When rating yourself, consider the following for each category:
Rating Guidelines
- Be honest and objective: Don't over-inflate or undersell your performance
- Consider the entire year: Think about your consistent performance, not just recent events
- Use evidence: Base ratings on specific examples and accomplishments
- Compare to expectations: Rate against what's expected in your role, not against colleagues
- Seek input: Review feedback from your manager and colleagues throughout the year
Job-Specific Feedback
Writing Effective Feedback
The job-specific feedback sections are your opportunity to provide context for your ratings and highlight your contributions.
Example: Key Achievements
Weak Example: "I did a good job this year."
Why it's weak: Vague, lacks specifics, doesn't demonstrate impact
Strong Example: "Successfully led the Q3 system migration project, completing it 2 weeks ahead of schedule. This resulted in a 15% improvement in processing efficiency for the finance team. Trained 3 team members on the new system, ensuring smooth transition and adoption."
Why it's strong: Specific, includes measurable results, shows leadership and impact
Practice Writing Feedback
Try writing a response for the "Challenges Faced" section:

Scenario: Your team faced a tight deadline for a major client report while two team members were on extended leave.
Analysis of Your Response
Example Response
"When facing the tight deadline with reduced staff, I took the following actions: 1) Prioritized tasks and created a revised timeline, 2) Collaborated with another department to borrow a team member for 2 days, 3) Implemented daily check-ins to track progress, 4) Personally took on additional analysis work. This approach allowed us to meet the deadline while maintaining quality standards."
Submission Process
Generating and Emailing Your PDF
After completing your self-assessment, you need to generate a PDF and email it to HR.
Step-by-Step Submission Guide
- Complete all sections of the appraisal form
- Click "Generate PDF" button in the appraisal form
- Use your browser's print function to save as PDF
- In Chrome: Select "Save as PDF" as destination
- In Firefox: Select "Microsoft Print to PDF" or similar
- In Safari: Choose "Save as PDF" from the PDF dropdown
- Name your file using this format:
2025_Appraisal_YourName.pdf - Email the PDF to [email protected] with subject: "2025 Performance Appraisal - [Your Name]"
- Keep a copy for your records and your performance review meeting
